Transport and directions

Hilton Birmingham Metropole is situated next to the NEC, Genting Arena, Birmingham International Train Station and Birmingham Airport.

Can I get to the venue by train?
Partners arriving by train can either walk 15 minutes or order a taxi for a 5 minute journey to the hotel.

Directions by car from the motorway?
Exit the M42 at junction 6. Then, if you’re travelling south, turn left off the slip road before you reach the large roundabout and take the first exit at the small roundabout onto East Way. Next, take the second exit at the mini roundabout for Pendigo Way.

If you’re travelling north, take the slip road towards the large roundabout, and take the second exit onto South Way. Follow the road round to the right until it becomes Pendigo Way.

Follow Pendigo Way until you reach the roundabout, then take the first exit onto Harbet Drive.

Parking at the hotel

The venue has 600 spaces but please note that parking will be allocated on a first come, first served basis parking.

Partners should enter your unique event code: YNPNA . Upon arrival, the barrier entrance will lift for delegates and the same upon departure. Any delegates who arrive and have not registered, can still register on the event day, even when on site. Please note that registration does NOT guarantee a space in the hotel car park. Cars parked in the NEC car parks are out of the hotel’s control and charges are variable.

Accommodation

Any accommodation required that is outside of what was included in your sponsorship package, like the night before the event (22nd October), can be booked at a special rate here.

Event registration and hotel guest check-in

Upon arrival at the hotel main entrance, please make your way to registration in the Lounge foyer, where you can register with the Sales Operations Team.

Overnight guests arriving Thursday must check-in at the Hotel Reception after 3pm to collect their room keys. Baggage can be stored with concierge.

Dress code

For the main conference on Thursday 23rd and Friday 24th October the dress code is business casual.

For the Thursday evening awards and dinner the dress code is smart eveningwear/dress to impress.

Partner Sponsor Village event information

The Partner Sponsor Village will be hosted in the Palace & Kings Suite where stand sizes are 2m x 2m. Lunch and refreshment will be provided in this room throughout the day.

Partners who have requested a plug will be provided with one. If you are bringing electrical items to display, a PAT certificate is required. We will be confirming which stands will be allocated to which partner shortly.

There is complimentary standard Wi-Fi access throughout the hotel. Select Wi-Fi Hilton Honours – in blue text, it will state ‘I have a promotional code’, where you can enter HBMC2025.

Setting up and dismantling times

Set-up will be from 06:00am on Thursday 23rd October. The exhibition is open from Thursday 23rd October 2025 at 09:00am and closes on Friday 24th October at 15:00pm.

Deliveries

Deliveries to the Hilton Birmingham Metropole will only be accepted 24 hours prior to your event and can be made between 06:00 am – 16:00 pm on Wednesday 22nd October.

To collect your delivery please call security on 0121 780 6340, whereupon a member of the security team will meet you at the Monarch Foyer in order to sign out your delivery items. Please be aware all deliveries require a signature and it is the responsibility of the signatory to transport all items to the designated function room.

Any deliveries coming to the hotel must have this fully completed label clearly attached to ensure it is accepted by our security team (a label on each box). They need to be pre-arranged and will only be accepted 24 hours prior to the event.

IMPORTANT
Anything delivered on a pallet must be unloaded, then the pallet removed from the hotel as they are unable to dispose or store these.

Wavenet and the Hilton Birmingham Metropole are not able to make any arrangements for booking for couriers to deliver or collect items. Such arrangements are the responsibility of the exhibitors or their agents.

Returns

All items must be cleared and removed from site on Friday 24th October – unless you have items left for collection the following day. Any litter left behind will incur fines from the Hilton, which will be passed on to any partner who has not removed their rubbish.

A completed ‘Returns Label’ should be attached to each individual item awaiting collection. It is the responsibility of the partner/ exhibitor to transport all items to the storage room or if required, the Monarch lock up. The hotel may dispose of leftover items if not collected after 24 hours of the event.

Access – loading and unloading

Partners will have access to the Palace and Kings Suite to set up between (06.00 until 08.00) on 23rd October. If you will not be travelling in a lorry or van, you can enter through the main entrance and ask at reception who will direct you to the Queens Hall inside the Palace Suite.

Loading and Unloading will take place at the Palace Suite, on entry to the hotel car park please turn right and press the buzzer which will connect you to the Hotel Security. They will direct you to the loading entrance of the Palace Suite for loading/unloading.

IMPORTANT
Stand contractors are required to sign in at the Security Office and wear the appropriate badges at all.

Speaker information

Please note that speakers should arrive at their breakout or presentation session 15 minutes early to get mic’d up and perform any last minute checks.

PowerPoint slides

Please ensure that all content provided meets the following requirement:

  • 1920 x 1080, 16:9 aspect ratio

We require partners who are speaking to send over your slide deck by Friday 10th October.

Partner stamps

We’re holding a competition where Sales must visit partner stands and speak with vendors to collect stamps for a chance to enter a prize draw.

Partners will receive custom stamps with their logos to use for stamping sheets.

Partners are kindly asked to not attend the main stage presentations, this is for Wavenet personnel only. Due to limited capacity we also ask that you do not attend the other vendor sessions.
